This Privacy Policy explains how White Pod Collections (“we”, “us”, “our”) collects, uses, and protects your personal information when you use our Service. We are committed to compliance with the Australian Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
1. Information We Collect
Account information
- Email address (required for account creation and transactional emails)
- Username and optional full name
- Password (stored as a one-way hash — we cannot recover it)
Collection data
- Item names, descriptions, photographs, and custom attributes you enter
- Acquisition dates, prices, and current valuations you record
- Tags, condition notes, and other metadata you add
Technical information
- IP address and user-agent string logged on authentication events for security purposes
- Session tokens (stored as one-way hashes) to keep you signed in
- Application error reports if you have consented to error monitoring
2. How We Use Your Information
- To provide and operate the Service
- To send transactional emails (account verification, password reset)
- To detect and prevent fraud or abuse
- To diagnose and fix technical problems
- To comply with legal obligations
We do not use your collection data for advertising, profiling, or any purpose other than operating the Service for you.
3. Sharing of Information
We do not sell or rent your personal information. We may share it only in these circumstances:
- Service providers: Infrastructure providers (hosting, database, email delivery) who are bound by confidentiality obligations
- Legal requirements: If required by law, court order, or to protect our legal rights

- Public collections: If you mark a collection as public, its contents are visible to other users
4. Data Retention
We retain your account and collection data for as long as your account is active. When you delete your account, your data is permanently removed within 30 days except where retention is required by law (e.g. financial records). You may export your data at any time before deletion.
5. Security
We use industry-standard security measures including encrypted connections (TLS), hashed passwords, and short-lived session tokens with rotation. No method of transmission over the internet is completely secure; we cannot guarantee absolute security.
6. Your Rights
Under the Australian Privacy Principles and, where applicable, the GDPR, you have the right to:
- Access the personal information we hold about you
- Correct inaccurate personal information
- Request deletion of your personal information
- Export a copy of your data (available via Settings → Export)
- Withdraw consent where processing is based on consent

7. Cookies
We use only functional cookies necessary for authentication (a secure, HTTP-only refresh token). We do not use tracking or advertising cookies.
8. Children
The Service is not directed to children under 18. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will delete it promptly.
9. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of material changes via email or a notice in the Service. Continued use after changes are posted constitutes acceptance.
